Mapsoft PDF Workflow Server is a robust, server-based automation tool which delivers a professional solution for working with Adobe Acrobats Portable Document Format (PDF) documents to the server-based network.

Mapsoft PDF Workflow Server allows task sequences for the following Mapsoft tools to be deployed and run in a server environment: Impress, BookMarker, TOCBuilder, ImagePlacer, DocuMerger, MaskIt, ContentScaler, MediaSizer, ThumbNails, PageManager, PDFSplitter, OpenOptions, SecuritySetter, InfoSetter, and Flattener. To do this, Mapsoft PDF Workflow Server utilises the power of Mapsofts associated desktop (client) product, Automator: a unique automation macro builder tool. Automator enables you to select a combination of Mapsofts individual publishing tools and create a sequence of tasks to be performed by those tools. This task sequence is known as an Automator configuration.

Mapsoft PDF Workflow Server extends the functionality of the desktop Automator tool by allowing you to deploy its configurations within a server environment.

The Automator configurations, (and the individual Mapsoft publishing tool sequences which they consist of), can be created under Mapsoft PDF Workflow Server itself, within the server environment. Alternatively, they can be created on a desktop machine using the tools in the Mapsoft PDF Plug-in Suite and then moved to a location which can be accessed by Workflow Server.

Mapsoft provides one copy of its desktop Plug-in Suite (consisting of one copy of each of Mapsofts desktop publishing tools) with each copy of the Workflow Server. This Plug-in Suite is licensed for installation on one desktop machine only, and is provided solely to assist administrators in the creation of the Automator configurations needed by the Workflow Server.

You use Mapsoft PDF Workflow Server to run the Automator configurations over specified watched folders. Using Workflow Server you can configure these watched folders to specify output file destination and naming options.

Mapsoft Workflow Server is a robust, server-based automation tool which delivers a professional solution for working with Adobe Acrobats Portable Document Format (PDF) documents to the server-based network. It utilises the power of Mapsofts associated desktop (client) product, Automator: a unique automation macro builder tool. Automator enables you to select a combination of Mapsofts individual publishing tools and create a sequence of tasks to be performed by those tools. This task sequence is known as an Automator configuration, and consists of a sequence list of actions/tasks to be used in calling up those tools with different settings. Each tool can be added to the sequence list more than once, with different settings each time if required. Mapsoft Workflow Server extends the functionality of the desktop Automator tool by allowing you to deploy Automator configurations within a server environment.

The Automator configurations, (and the individual Mapsoft publishing tool sequences which they consist of), can be created either under Mapsoft Workflow Server itself, within the server environment, or they can be created on a desktop machine using the tools in the Mapsoft Plug-in Suite and then moved to a location which can be accessed by Workflow Server. Some of the configurations can be more easily created using the Plug-in Suite environment as they interact with Acrobat. Thus, Mapsoft provides one copy of its desktop Plug-in Suite (consisting of one copy of each of Mapsofts desktop publishing tools) with each copy of the Workflow Server. This Plug-in Suite is licensed for installation on one desktop machine only, and is provided solely to assist administrators in the creation of the Automator configurations needed by the Workflow Server.

Task sequences for the following Mapsoft desktop publishing tools within the Plug-in Suite can all be included within Automator configurations that are to be deployed and run within a server environment:

  • Impress Stamps a text stamp onto selected file(s) or onto specified pages within a file.
  • BookMarker Creates a hierarchical set of bookmarks automatically. Bookmarks up to any nested level can be created, based on the headings found within a document.
  • TOCBuilder Generates Table of Contents automatically from existing bookmarks within a file. TOCBuilder automatically creates the linked references.
  • ImagePlacer Stamps images in a variety of formats inside your PDF document, either as an overlay on top of existing content, or as a watermark below it. Images can also be transparent.
  • DocuMerger Allows you to merge template PDF files with existing document content.
  • MaskIt Masks/hides the contents of selected areas within a page or range of pages.
  • ContentScaler Changes the size of a pages contents without altering the actual page dimensions.
  • MediaSizer Alters the media size of the selected PDF document without changing its contents.
  • ThumbNails Exports thumbnails for your selected document(s) as image files for use in desktop publishing or on websites.
  • PageManager Allows you to create a new blank PDF document. You can also create new pages and specify their size, and remove, insert and replace existing pages.
  • PDFSplitter Splits a large PDF document into smaller documents. Optionally, any pre-existing links within the original document can be retained when that document is split into smaller documents.
  • OpenOptions Manages Acrobats document opening options, including Initial View, Window and User Interface options.
  • SecuritySetter Manages Acrobats Security options within a document, including owner password and access rights.
  • InfoSetter Sets Acrobat information options including Title, Subject, Author, Keywords and the Base Uniform Resource Locator (URL) used for links to the World Wide Web (WWW).
  • Flattener Dramatically reduces the size of certain PDF files by removing active parts like navigation buttons and forms. Flattener can also move content from annotation (such as form content and markup) right into the document so that it can be archived or viewed easily.

The DogEars and AcroBatch tools included within the Plug-in Suite are not appropriate for use with Workflow Server.

Once the Automator configurations have been created and have been made accessible to Mapsoft Workflow Server, you can then use Workflow Server to run the Automator configurations over specified watched folders. Mapsoft Workflow Server will automatically monitor those folders at pre-determined time intervals and will run the selected task sequences over any PDF files that are dropped into those folders.

Mapsoft PDF Workflow Server - System Requirements

System Requirements:


At a minimum system requirements to run Workflow Server are:
  • Windows 2000 and beyond.
  • 128MB memory.
  • 100MB free disk space.

Generally the requirements for running the desktop tools in the Mapsoft Plug-in Suite are the same as those for the version of Acrobat with which those tools are to be used. However, as an approximate guide, the minimum hardware and software requirements to run these tools are:

  • i486 or Pentium processor-based personal computer.
  • Microsoft Windows 95/98/ME/2000/XP or Windows NT V4 with service pack 3 or later.
  • 8MB of RAM (16MB on Windows NT, Windows 2000 and Windows XP Professional).
  • Acrobat Version 5.x or later.
  • CD-ROM drive.
